Connecting HubSpot to Oryon

Oryon reads your HubSpot portal once a day and shows contacts, deals, pipeline value and revenue beside your advertising, social, web analytics and payment data. The connection is read-only: Oryon never creates, changes or deletes anything in your portal.

Before you start

An Oryon workspace

HubSpot is connected from inside an existing Oryon workspace. Installing from the HubSpot App Marketplace does not create an Oryon account for you, so sign up first if you do not have one.

Permission to install apps in HubSpot

You need a HubSpot user who can install apps on the portal you want to connect. One Oryon workspace connects one HubSpot portal.

Know which HubSpot plan you have

Contacts and deals work on every tier. Form and email figures need Marketing Hub, and invoice, payment and subscription figures need Commerce Hub. Oryon asks for those scopes conditionally, so it installs and runs correctly on portals without them.

Connect your portal

Open Connections

In Oryon, choose Connections in the left sidebar. HubSpot appears in the catalogue of available sources.

Choose Connect on HubSpot

You are sent to HubSpot to review what Oryon is asking for. If you belong to more than one portal, HubSpot asks which one to connect — check this carefully, as it is the portal Oryon will read from.

Approve the access

HubSpot lists every scope Oryon requests, all of them read-only. Approving returns you to Oryon with the connection in place.

Wait for the first sync

The first sync backfills up to 365 days of history so your charts and period comparisons work immediately rather than starting from today. It runs in the background and takes a few minutes on a large portal.

What Oryon reads

Contacts and deals

The number of contacts created each day, the number and value of deals created each day, and the value of deals in a won stage on their close date.

Commerce, where you have it

Amounts invoiced, cash actually collected on its payment date, monthly recurring revenue and active subscription counts. Commerce Hub only.

Marketing activity

Daily email opens and clicks, and daily form submission counts. Email figures need Marketing Hub.

Portal settings

Your portal ID, time zone and home currency. These date every figure in your own time zone and let Oryon report money from several tools in one currency.

What is stored

Daily totals only — one number per metric per day. Oryon does not store contact records, email addresses, deal names or invoice detail. Nothing identifying a person is retained.

Keeping data current

Automatic daily sync

Oryon re-reads your portal every night and refreshes a trailing window, so a deal that closes late or an invoice paid after the fact corrects itself without any action from you.

Refresh now

Every source page has a Refresh button in the header. It runs the sync for that page's sources immediately and tells you which ones updated — useful straight after connecting, or after changing something in HubSpot.

Choosing a period

The period selector at the top of each page changes the window every figure on it covers. Figures are dated by when they happened in HubSpot, not by when Oryon read them.

Disconnecting

Open Connections and choose Disconnect

Find HubSpot in the list of connected sources and choose Disconnect.

Access is withdrawn at HubSpot

Oryon revokes the grant with HubSpot rather than simply forgetting the token, so access stops immediately instead of sitting unused on HubSpot's side.

Your history is kept

Disconnecting removes the stored credentials and the connection. The daily totals already synced are kept, so reconnecting later restores your history instead of starting over. To remove those totals as well, delete the workspace from Settings.

Uninstalling from HubSpot

Disconnect in Oryon first

Disconnecting from inside Oryon revokes the grant and stops the nightly sync. Doing this first leaves nothing behind on either side.

Remove the app in HubSpot

In HubSpot, go to Settings, then Integrations, then Connected Apps. Find Oryon Data and choose Uninstall. This ends HubSpot's side of the connection whether or not Oryon disconnected first.

Troubleshooting

A dash is not a zero

Where Oryon has nothing to report it shows an em dash, never a zero. A zero means the figure was measured and it was nought; a dash means nothing was reported for that period, or your plan does not include that product.

Revenue shows a dash even though you are making sales

Oryon counts revenue from deals in a stage your portal marks as closed at 100% probability, read from your own pipelines. A stage named something like Paid but left at 80% is still an open deal to HubSpot, so nothing counts. In HubSpot, go to Settings, then Objects, then Deals, then Pipelines, and set that stage to Closed won. Where no deal is marked won at all, Oryon falls back to invoice payments actually collected.

Commerce figures are unavailable

Collected amounts, monthly recurring revenue and active subscriptions come from HubSpot Commerce. A portal without Commerce Hub owns no invoice or subscription records, so Oryon reports these as unavailable rather than as zero.

Email or form figures are unavailable

Email opens and clicks need Marketing Hub, and form submissions need a portal with forms. Without them Oryon reports these as unavailable.

Data stopped updating

If HubSpot access is revoked from your portal, or the connecting user loses their permissions, the nightly sync stops and Oryon flags the source as needing reconnection. Open Connections and reconnect HubSpot.
